Everything event professionals usually ask before booking — how fast you’ll get edited videos, what’s included, what it costs, what gear we bring, where we film and who owns the footage. Can’t find your question? Get in touch.

Filming & editing

How fast do you deliver edited conference videos?

Edited conference speeches are delivered within 24 hours of your event. Highlight films and produced social content take a little longer, because they involve music, graphics and more creative editing.

Is setup and pack down included in the filming time?

Yes, setup and pack down is included in the filming time. We aim to be on site at least 1 hour before we are required to film, to make sure the gear and technical aspects are sorted — and if there is a problem, we have time to fix it. Setup usually takes 45 minutes: finding the right position, checking lighting, taking an audio feed and liaising with you and your speakers. Pack down is a cinch — we usually allow 15 minutes.

Do you film conferences outside Brisbane?

Yes. We film right across Australia — we have staff on standby in all capital cities and are willing to travel to regional areas. With enough notice, we can also accommodate international conferences.

What gear is standard when we work with you?

With a basic conference recording, 2 cameras on tripods, presentation recording devices and audio linking gear are included in our rate. If additional equipment is required — for example lighting (if the venue is too dark) or audio (if the venue doesn’t have a PA) — we will consult with you.

Can you film multiple sessions at the same time?

Yes. We can film multiple sessions happening concurrently by deploying additional camera operators and equipment, so we capture all the important content occurring simultaneously during your conference.

Is music included in the conference edits?

Due to the length of conference videos, we don’t edit them with music underneath — the viewer’s focus should be solely on the speaker. Music is included in highlight films and social media content edits.

Are graphics included in the video?

Basic graphics — such as logo intros, lower thirds (speaker titles) and text on screen — are included. More complex graphics are outside the remit of the conference videos.

How many rounds of changes do I get?

We’re hoping we nail it on the first edit, and most clients only make small tweaks. You receive one round of changes; additional changes outside of this are usually out of scope and incur additional editing charges. We’ll always consult you first.

What format are the videos delivered in?

We provide the final videos in the format of your choice, such as MP4 or MOV files, delivered via Dropbox.

Pricing

How much does conference filming cost?

Packages range from $2,100+GST for a half-day single-camera shoot to $9,000+GST and up for multi-day, multi-camera coverage. See the pricing page for a full breakdown of what’s included in each tier.

Will there be additional costs after the quote?

From time to time additional costs pop up — for example when a schedule runs overtime (requiring more crewing hours) or when edits outside the agreed scope are required. Before we complete the work, we’ll consult you on whether to proceed.

Are there incidental charges?

We want this to be as cost-effective as possible for you. Incidental charges, such as parking, are charged at cost to the client.

Working with us

How are you different to the AV technicians?

We work alongside the AV technicians and rely on their expertise (taking an audio feed and a copy of the on-screen presentation), but their focus is the event space and the delegates’ experience in the room. We are there to capture your event — for social media, for marketing future events, or to sell the conference online afterwards as an alternative revenue stream.

Who owns the videos and what can we use them for?

You have full rights to use the filmed conference sessions as you need. We provide a license to use the videos for internal purposes, online sharing, marketing, or any other relevant use for your organisation. For Lite and Medium packages you own the copyright to the finished videos; the raw footage remains the copyright of Conference Filming Australia and can be purchased.

How long do you keep the footage for?

We film many events, and footage across multiple camera angles takes up a lot of storage. We keep your assets for 6 months; after that we can’t guarantee they’ll still be on our servers. We encourage clients to make double backups of their assets on separate hard drives.

Do we have to provide meals?

You don’t need to provide meals to our staff. However, on full-day shoots and those outside normal working hours, our staff are always grateful for a meal provided.

What other services do you provide?

We offer a full suite of video and photography options for your conference, including livestreaming, post-event wrap videos, testimonial videos and event photography.
