Conference video production for Canberra events

Conference Filming Australia provides conference video production in Canberra for government departments, national associations and peak bodies — multi-camera session recording, slide sync and edited speaker videos within 24 hours. Packages are fixed from $2,100+GST, and the crew works to your run sheet rather than asking the program to work around it.

Canberra’s conference calendar belongs to national bodies: annual conferences, AGMs, summits and departmental events where the content outlasts the day by years. What follows is how a formal program gets filmed without intruding on it, why conference video production and video conferencing are not the same purchase, what an association does with the footage afterwards, and what it costs.

Filming a formal program without appearing in it

Canberra programs tend to run to the minute: a run sheet with times against each item, a chair who keeps to them, and a room where the proceedings matter more than the production. Filming that well is mostly a discipline of staying out of the way — camera positions chosen so nobody in the room has to think about a camera, audio taken from the AV desk rather than a boom in the aisle, and nothing that needs to happen between sessions. The recording should leave no trace in the program itself.

Canberra venues we cover

We film at conference venues, hotels and event spaces right across Canberra, including:

  • National Convention Centre Canberra (NCCC)
  • Hotel Realm and the Realm precinct
  • QT Canberra
  • National Gallery of Australia function spaces
  • CBD and Barton hotels

Filming somewhere not listed? We cover the whole city and surrounds — just ask.

Conference video production and video conferencing are different purchases

Two unrelated services share almost the same words, and in Canberra more than anywhere else people arrive at this page looking for the other one. Video conferencing is a room: screens, a codec, a ceiling microphone array and the IT or AV supplier who installs and supports it, so a meeting can include people who are not in the building. Conference video production is a record: camera operators capturing your sessions, audio taken from the desk, and an edit that produces files you publish afterwards.

CFA does the second. We do not install, hire or operate video-conferencing facilities, and we do not quote room AV. The one genuine overlap is the hybrid event — a conference that happens in a Canberra room and is watched live by members who could not travel to it. That is livestreaming, which runs multi-camera vision mixing, broadcast audio and internet redundancy to the platform of your choice, and is quoted as a production layer on top of the filming rather than inside the package.

Government, association and peak-body programs

Formal programs carry requirements a corporate conference usually does not. Running order changes late and changes officially, so the crew works from the version your secretariat issues on the morning rather than the one circulated a fortnight earlier. Sessions can be sensitive, and a speaker may ask not to be recorded after the program is printed — which is a decision we take from you in the room, not one we argue about.

Where a venue or a department requires crew details in advance, send us that requirement when you book and we provide names, roles and an equipment list in whatever form it is wanted. Accreditation, sign-in and escort arrangements then get handled before the day instead of at a security desk at 7am. Tell us too if any part of the program is embargoed or not for publication, and the material is kept out of the deliverables rather than edited and then withdrawn.

What an association does with the footage afterwards

Association and peak-body conferences have an audience larger than the room — members who did not travel, members who joined after the event, and the board that approved the budget. Recorded sessions answer all three, and the Custom package adds a delegate portal where attendees re-watch sessions and download transcripts. Some organisations put the recordings behind their membership login; others sell access to the conference online afterwards as a separate revenue stream.

The same day of filming also yields shorter material: a highlight film of around two minutes for next year’s promotion, vertical cut-downs for social, and speaker interviews recorded between sessions that work as standalone thought-leadership pieces. Session recordings themselves are cut without a music bed, so the speaker carries them. Our guide to getting more from conference footage works through the repurposing in detail.

What conference video production costs in Canberra

Four fixed packages cover Canberra, quoted up front with no hourly or day rate behind them. A single-session or half-day booking is $2,100+GST for one camera operator across four hours on site. A full eight-hour day with the same operator is $2,700+GST, which suits a one-room annual conference or an AGM with a speaking program attached. Slide sync and 24-hour speaker edits are in both.

Multi-camera coverage with a second videographer, keynote interviews, a highlight reel and ownership of every frame captured is $6,800+GST. Programs running multiple rooms or multiple days start at $9,000+GST and bring the delegate portal with them; consecutive days are discounted against the program. The ACT carries no travel component, overtime or out-of-scope editing is agreed with you before it happens, and incidentals such as parking are charged at cost. The pricing page sets out each tier in full.

Beyond the ACT, into surrounding New South Wales

The ACT is compact enough that a Canberra booking covers the whole territory with no travel component at all. Immediately across the border, Queanbeyan and the Southern Tablelands are crewed the same way; further into New South Wales the travel is quoted against the town and the dates, because no standard regional rate is published anywhere on this site.

We regularly film in surrounding areas including Queanbeyan, the wider ACT region, the NSW Southern Tablelands.

If your AGM sits in Canberra and the annual conference happens somewhere else, both can be filmed by the same producer to the same treatment — so the Sydney or Melbourne recording does not look like another supplier’s work beside the Canberra one.

We film for organisations across Australia — including Novartis, CBRE, Officeworks and Future of Leadership. See our recent work.

Filming in Canberra: common questions

Do you supply video conferencing facilities in Canberra?

No. Video-conferencing rooms, codecs and screens are an AV or IT supply, and we neither install nor operate them. We film conferences and events and deliver edited video. If what you need is a live audience watching from elsewhere, that is livestreaming, which we do provide as a layer on top of the filming.

Do you film government and association conferences in Canberra?

Yes — government, association and national-body conferences are the bulk of the Canberra calendar. The crew works to your run sheet, takes direction from your secretariat on the day, and films every session without interrupting proceedings.

Can you livestream a Canberra conference to members who cannot attend?

Yes. Livestreaming runs multi-camera vision mixing, broadcast audio and internet redundancy to the platform of your choice, and records at the same time so you get the edited session videos as well. It is quoted as a separate production layer rather than being included in a filming package.

Do you need accreditation or crew details before the event?

Send us the requirement when you book and we provide crew names, roles and an equipment list in whatever format is needed. Handling it in advance keeps accreditation and escort arrangements away from the morning of the event.

How much does conference video production cost in Canberra?

From $2,100+GST for one operator across four hours on site, $2,700+GST for a full eight-hour day, $6,800+GST for multi-camera coverage with a highlight reel, and from $9,000+GST for multiple rooms or multiple days. Each is a fixed package quoted up front, and the ACT carries no travel component.
