Audience size barely affects a conference recording — a 900-seat plenary is the same job as a 90-seat one, filmed from further back. Three different suppliers answer to the word production
A search for conference production in Sydney returns three businesses that do unrelated things. An event production company owns the show in the room: staging, screens, PA, lighting and the show-caller running it to a cue sheet. A live event production agency may own the whole program — venue, run sheet, speakers, branding — and subcontract the parts it does not do in-house. Conference video production is the third: cameras, an audio feed, the edit, and the files you publish afterwards.
CFA is only ever the third of those. We do not quote staging, screens, sound reinforcement or show-calling, and we will not run your event. Where an agency is already running it, we are engaged either directly by you or alongside them, and either way we need the same two things from whoever is at the desk: the audio, and a copy of the on-screen presentation. Multi-stream programs and late bookings
Concurrent sessions are the single biggest driver of a Sydney quote, and the number we need earliest. Filming four streams at once means four operators and four kits, and that arithmetic is linear — there is no efficiency to find in it. Send the running order with the room count marked, and say which streams matter most: where not every room can be covered, the choice of which to film is far better made by you in advance than by a producer at 8am.
Operators on standby in Sydney are what makes a late booking viable. Nobody is flying in, so same-week bookings and streams added a fortnight out can usually still be crewed. What cannot be compressed is the material that depends on knowing the program — which keynotes get interviewed afterwards, which sessions are embargoed, and which parts of the day the highlight film should be built around. Those decisions are cheap a month out and expensive on the morning.
Filming across Greater Sydney, not only the CBD
Greater Sydney has several business districts and a conference at Parramatta is a different morning from one at Darling Harbour. Parramatta, North Sydney, Macquarie Park and the CBD can each be an hour apart in peak traffic with a car full of tripods, which matters for exactly one reason: operators are on site at least an hour before the first session they film, and that hour is counted backwards from your start time rather than from a convenient departure.
Room types vary as widely as the postcodes. Harbourside event spaces bring windows and light reflected off water, so the camera gets positioned to keep a bright background out of frame. Fixed-stage university and corporate auditoriums are the simplest: a projector feed, fixed seating and a lighting state nobody alters. Heritage halls are high and reverberant, which is an audio problem rather than a lighting one — and the reason audio comes off the AV desk everywhere, because a room microphone in a hall that size records the hall.
What conference video production costs in Sydney
Room count, not city, sets the figure. One camera operator for four hours on site is $2,100+GST, and the same operator across a full eight-hour day is $2,700+GST; slide sync and speaker videos edited within 24 hours are included in both. A single-stream Sydney conference sits in that pair however large the audience is, which is why the plenary size is not something we ask about before quoting.
Scale moves the number when rooms or deliverables multiply. $6,800+GST brings a second videographer for b-roll and keynote interviews, a highlight reel, and every frame captured as your copyright. Multi-stream or multi-day programs start at $9,000+GST with a delegate portal attached, and consecutive days are discounted against the program. New South Wales beyond Greater Sydney
New South Wales divides in two for crewing purposes. Newcastle and Wollongong sit close enough to cover as metropolitan bookings, with no travel component attached. Everywhere past them — the Hunter, the Central West, the South Coast — needs a figure that does not exist in published form, so those dates are costed individually from the location, the duration and the crew required, and the result forms part of the quote you accept.
